Hands On Recruitment South Africa has partnered with a leading Outdoor and Out-of-Home Advertising Company to find a highly organised and detail-oriented Marketing Services Co-Ordinator. This role is key to supporting the sales and marketing teams, ensuring smooth operations, professional client engagement, and seamless campaign delivery.
Key Responsibilities
Existing GP’s (Generic Proposals)
Manage and continuously update generic sales proposals, implementing requested changes as needed.
New Client Sales Proposals
Develop and generate professional sales presentations and proposals for direct clients and media agencies.
Oversee and manage the full sales process from proposal stage through to deal closure.
Live Campaigns & Post-Campaigns
Facilitate the Proof of Flighting (POF) process.
Compile site bibles for live and post-campaign reporting.
Trade Marketing Support
Work closely with the sales team to prepare marketing documents.
Organise client and team functions, send invites, manage client gifting and birthday lists.
Digital Marketing
Manage the company’s social media platforms and contribute to the creation of digital marketing content.
Housekeeping & Administration
Daily:
Update Teams Status Report with received information.
Update Teams Job Card when POF is received.
Create new contracts (RA & PQ).
Create bespoke sales proposals.
Send reminders for outstanding POFs.
Conduct daily catch-ups with QR.
Weekly:
Send out outstanding paperwork (POs, CIs).
Send weekly reminders for outstanding POFs.
Circulate Cape Town and Johannesburg birthday lists.
Monthly:
Compile and distribute DOOH reports (before the 7th of each month).
Send monthly POF site bibles to clients and agencies that request them.
Requirements
Proven experience in marketing coordination, sales administration, or a similar role.
Strong organisational and multitasking skills with excellent attention to detail.
Proficiency in MS Office Suite (PowerPoint, Excel, Word) and comfortable with digital tools.
Ability to manage multiple deadlines and work under pressure.
Excellent communication skills, both written and verbal.
Experience in the media, advertising, or OOH industry is a MUST!
